Terms & Conditions

HER STAGE LaB Program
By applying for and participating in the HER STAGE LaB Program, the participant agrees to the following Terms & Conditions.

1. Application and Selection Process

HER STAGE LaB is a selective program with a limited number of places.

Every application is reviewed carefully by the artistic team. Selection is based on the applicant’s experience, readiness to commit, suitability for the chosen track, and the artistic needs of the program, ensemble, and play.

As a female-led organisation, we aim to support as many female creatives as possible. If a place in the selected track is not available or not the right fit, the applicant may be considered for another track, future round, or other HER STAGE opportunity.

Applications are reviewed on a rolling basis, so we recommend applying early.

Final decisions remain at the discretion of the artistic team and organisers.

2. Payment

Payment must be completed before the beginning of the program.

Payment can be made by bank transfer. In some cases, payment may be divided into two instalments by prior agreement with the organisers.

A non-refundable deposit is required to secure the participant’s place in the program. The place is not guaranteed until the deposit has been received.

3. Cancellation and Refund Policy

The application fee is included in the total program fee. If the participant is accepted into the program, the application fee will be deducted from the remaining program balance. In case of cancellation by the participant, the application fee is non-refundable.

A deposit is required to secure the participant’s place in the program. The deposit is also non-refundable.

Refunds apply only to the remaining refundable program balance, excluding the application fee and the deposit:

More than 30 days before the program starts: 100% refund
21–30 days before the program starts: 70% refund
14–20 days before the program starts: 50% refund
7–13 days before the program starts: 25% refund
Less than 7 days before the program starts: no refund

Missed classes, rehearsals, workshops, or showcase preparations are not refundable. The participant is responsible for their own attendance and availability.

If a participant decides to leave the program after it has started, no refund will be provided.

4. Attendance and Punctuality

Participants are expected to attend all sessions, rehearsals, and showcase preparations on time.

If a participant is running late or cannot attend, they must inform the organisers as soon as possible.

In case of absence, the participant is responsible for receiving the information, updates, blocking, rehearsal notes, or changes that were given during the missed session. This may be done through peers, the group chat, or directly with the organisers when possible.

Regular absence, lateness, or lack of preparation may affect the participant’s involvement in the final showcase.

5. Rehearsal, Casting and Final Presentation

HER STAGE LaB includes training, rehearsal work, character development, and preparation for a final showcase or performance presentation.

Roles and stage material are assigned by the artistic team according to the participant’s qualities, experience, the needs of the ensemble, and the overall artistic vision of the program.

Participation in the final showcase/performance depends on attendance, preparation, discipline, and readiness for the show.

For the Exploration Track, each participant will be assigned one main role by the artistic team and may choose one or more additional characters to explore, while also potentially working as a cover or substitute within selected scenes and mise-en-scènes.

For the Showcase Track, each participant will be assigned one specific role during the first week of the program, according to the casting process led by the artistic team. The participant is expected to commit to this role throughout the full three-week process, prepare the assigned material, and present it as part of the final showcase.

For the Performance Track, participants are cast in a specific role in advance, before the program begins. Each participant will receive an additional individual agreement outlining the details of their role, rehearsal responsibilities, and performance commitments.

6. Props, Costumes, Hair and Make-up

Main props, decoration, technical elements, and key costume pieces will be provided by ArT PLATFORMA & TEATR FORMA.

Participants may be asked to bring small personal items connected to their character or costume, such as shoes, tights, jewellery, accessories, or simple wardrobe elements.

Participants are expected to do their own hair and make-up for the showcase/performance, following the general artistic guidelines provided by the creative team.

On the day of the showcase/performance, participants will have access to a dressing room or designated preparation area.

7. Studio and Rehearsal Space

The studio must be kept clean, tidy, and respectful at all times.

During the three weeks of the program, the studio will be under the supervision of the organisers. Participants may leave approved character belongings, rehearsal items, or costume pieces in the studio, but all personal belongings remain the responsibility of the participant.

No food is allowed inside the rehearsal space. Food and drinks may only be consumed in designated areas.

If participants need access to the rehearsal room outside working hours, this must be agreed with the organisers in advance. The room must be left clean and safe: windows closed, lights switched off, personal items stored properly, and the door locked.

Any damage caused to the studio, props, costumes, equipment, or venue property through careless behaviour may be charged to the responsible participant.

8. Food and Breaks

Food and drinks are not provided by the organisers.

There will be short breaks during weekday sessions and a lunch break on Saturdays. Participants are responsible for bringing their own food and drinks.

9. Scripts and Materials

Each participant will receive a script in PDF format before the beginning of the program and is expected to read it in advance.

During rehearsals, phones may not be used instead of scripts. Participants may use a printed script, iPad, tablet, or e-reader.

A few printed copies of the script will be available in the rehearsal space. However, for personal comfort and preparation, participants are encouraged to bring their own copy.

Scripts, rehearsal materials, internal notes, and program documents are for personal use only and may not be shared publicly without permission.

10. Communication

Before the program begins, participants will be added to a WhatsApp group. This group will be used for updates, daily schedules, practical information, rehearsal notes, and urgent communication.

All participants are expected to join the group chat and check it regularly during the program.

11. Conduct and Group Atmosphere

HER STAGE LaB is based on respect, trust, discipline, and mutual support.

Participants are expected to behave respectfully towards the organisers, teachers, artists, venue staff, and other participants. Any form of aggression, harassment, discrimination, humiliation, unsafe behaviour, or repeated disrespectful conduct will not be tolerated.

The organisers reserve the right to remove a participant from the program if their behaviour seriously disrupts the process, damages the group atmosphere, or creates an unsafe environment. In such cases, no refund will be provided.

12. Health and Personal Responsibility

The program may include physical, vocal, emotional, and ensemble-based exercises. Participants are responsible for informing the organisers in advance about any relevant physical limitations, injuries, medical conditions, or personal circumstances that may affect their participation.

Participants remain responsible for their own physical and emotional wellbeing throughout the program.

13. Photo and Video Materials

Photo and video materials may be taken during the program, rehearsals, backstage process, and showcase/performance for documentation, educational, archival, and promotional purposes.

If a participant does not wish to appear in publicly shared photo or video materials, they must inform the organisers in writing before the program begins.

14. Program Changes

The organisers reserve the right to make reasonable changes to the schedule, rehearsal structure, teachers, venue arrangements, or showcase format if necessary for artistic, organisational, technical, or safety reasons.

Any important changes will be communicated to participants as early as possible through the official communication channels.

Agreement
By confirming participation and making the payment, the participant confirms that they have read, understood, and agreed to these Terms & Conditions
